How to reduce PDF size for online forms

Job portals, exam sites and government services often reject PDFs over 100 KB, 200 KB or 2 MB. Here is how to get under the limit and keep your document readable.

Why forms limit file size

Online application systems receive lakhs of documents, so they cap each upload: 100 KB or 200 KB for certificates and ID proofs, sometimes 300 KB, 500 KB or 2 MB for longer documents. If your file is even slightly over, the form refuses it. The trick is to make the PDF smaller without making it unreadable.

Step 1: Check what you are starting with

Look at the file size on your phone (in the Files app, tap the file and open details). Then decide how much you need to cut:

  • A little over (for example 130 KB for a 100 KB limit): light compression will do.
  • Several times over (for example 2 MB for a 200 KB limit): you need stronger compression, and it helps to remove pages.
  • A scan or photo of a paper document: images make up almost all of the size, so compression works very well.

Step 2: Remove what the form does not need

Every extra page adds size. If the portal only asks for your 10th marksheet, do not send a 6-page file with all your certificates. Use delete pages to keep only the pages you need. This alone often halves the size.

Step 3: Compress to a target size

Open compress PDF to a set size, choose your PDF and enter the limit, or use a ready-made page such as compress PDF to 100 KB or compress PDF to 200 KB. Step 4: Check the result

Before uploading, open the compressed PDF and zoom in on:

  • your name, roll number and dates,
  • signatures and stamps,
  • small print such as certificate numbers.

If something is hard to read, go back and use a slightly higher target, or remove another page and try again.

If you are starting from photos

If you photographed a document instead of scanning it, convert the photos straight into a small PDF with JPG to PDF. Crop away the table or background around the paper first; the extra area adds size without adding information. Shoot in good light, flat and straight, so the text stays sharp even after compression.

Quick checklist

  1. Keep only the pages the form asks for.
  2. Compress to a little under the limit, such as 95 KB for 100 KB.
  3. Zoom in and check names, numbers and signatures.
  4. Rename the file sensibly, for example name-10th-marksheet.pdf.

Frequently asked questions

Why is my scanned PDF so large?

Phone scans and camera photos are saved at high resolution, often 3 to 5 MB per page. Text documents created on a computer are usually tiny; it is the images inside a PDF that make it heavy.

Will compressing make my document unreadable?

Not if you compress sensibly. At 100 KB, a one- or two-page document stays readable. A ten-page scan squeezed into 100 KB will look blurry, so remove pages you do not need first.

Is it safe to compress an official document online?
