Win the job with a clear quote

Before a client says yes, they want to know what they’ll pay and what they’ll get. A clear quotation sets expectations, prevents arguments later and makes your business look established. This page uses the same engine as the invoice generator, set up for quotes: the title reads “Quotation”, the due date becomes “Valid until”, and sensible terms are filled in.

What a good quotation includes

  • A quote number and date, so you can refer to it later.
  • Each item or service with quantity and price, so the client can see what’s included.
  • Taxes, discounts and the total, calculated automatically.
  • How long the price is valid, usually 15 to 30 days.
  • Terms: what’s included, payment schedule, delivery time and what happens if the scope changes.

From quote to invoice

When the client accepts, keep the form, switch the type to Invoice, update the number and dates, and download again. Switch on “Remember on this device” to keep your business details ready for every quote.

Estimates and proforma invoices

Choose “Estimate” when the final price may change, such as repairs where the full work isn’t known yet. Choose “Proforma invoice” when a client needs a formal document before paying in advance, for example to arrange funds or import paperwork.

Once the work is paid, send a payment receipt.

What is the difference between a quotation and an invoice?

A quotation is an offer: it tells the client what the work will cost before they agree. An invoice is a request for payment after the sale. When the client accepts, switch the type to Invoice and keep the same items.

How long should a quotation be valid?

Commonly 15 to 30 days, so prices don’t become outdated. Set the date in “Valid until”.

Is a quotation legally binding?

Once the client accepts it, a quotation can become part of the agreement, so make sure the terms describe exactly what’s included. For large projects, consider a proper contract.

Can I make an estimate instead?

Yes. Choose “Estimate” as the type. Estimates are approximate prices, while quotations are usually fixed.
