About this asset inventory form
An asset inventory (or asset register) lists the things an organisation owns and uses: computers, phones, furniture, machines, vehicles and tools. Each asset gets a tag number with its serial number, location, who it’s assigned to, purchase date and cost, and condition, so you can find it, insure it and plan replacements.
For stock you sell or consume, the inventory sheet is a better fit.
What’s on the asset inventory form
The template has 1 section and 4 questions. Every one can be renamed, moved or deleted.
- : Organisation or department; Checked by; Date; Assets table (Tag no., Description, Serial no., Location, Assigned to, Purchased, Cost, Condition)
Tips
- Label each asset with its tag number.
- Audit the register at least once a year by checking every item.
- Record handovers to staff on the asset handover form.
Four ways to save it
A fillable PDF has typing boxes, tick boxes and choices built in. A printable PDF gives clean boxes and writing lines for pen and paper. The Word file can be edited further, and the HTML code adds the same questions to a website. Browse more form templates, or design a completely different layout in the custom form builder.
Frequently asked questions
What’s the difference between assets and inventory?

Can I keep the register digitally?
Yes. Use the fillable PDF, or build it in a spreadsheet with the create spreadsheet tool for sorting and totals.
Can I put the asset inventory form on my website?
Yes. Choose “HTML” to copy ready-made form code with labels and a simple style. Set the form’s action to the address that should receive submissions, such as your own form handler.
Can I change the questions on the asset inventory form?
Yes. Rename any question, change its answer type (short answer, tick boxes, rating, table and more), move it, or delete it. You can also add whole new sections.

Yes. Choose “Word” under “Save as” to download a .docx file you can keep editing in Microsoft Word, Google Docs or LibreOffice.
