From fillable form to a normal PDF

A fillable PDF has form fields: boxes you type into, tick boxes, dropdowns and signature areas. That’s handy while you fill it in, but once it’s finished you usually want a normal PDF: one where the answers are part of the page, look the same in every app and can’t be changed. That conversion is called flattening.

Flatten PDF takes everything in the form as it is now (typed text, ticked boxes, chosen options and drawn signatures), draws it into the page and removes the form fields. The result looks exactly like the filled-in form, but it behaves like any other PDF.

When to flatten a PDF

  • Before you send a filled-in form, so the answers can’t be edited by mistake or on purpose.
  • When a portal or office asks for a non-editable PDF of an application, declaration or claim.
  • When answers disappear or look different in another viewer or on a phone. Flattened answers always show.
  • Before printing or merging, because some printers and PDF tools ignore form fields.
  • To turn a blank form into a print-only version, so people fill it in by hand.

What happens to each kind of field

Text boxes keep what was typed, in the same position and size. Tick boxes and radio buttons stay ticked or empty, dropdowns show the chosen option, and signature fields keep the drawn signature. Empty fields simply disappear, leaving the printed boxes and lines of the form behind.

Before flattening, the tool shows how many fillable fields it found and how many are filled in, so you can check you have the right version. If a PDF has no fields, it tells you, because there’s nothing to flatten.

Tips

  • Keep the fillable copy if you might need to change an answer. Flattening can’t be undone, but your original file is never changed.
  • Fill in the form first, in Chrome, Edge or Acrobat Reader, then save it and flatten the saved file.
  • Dynamic (XFA) forms made with Adobe LiveCycle are flattened as their standard pages; check the result before sending it.
