How to split an Excel file

Break one big sheet into many files

Large spreadsheets are hard to share and often too big for upload limits. Bulk-import tools accept a fixed number of rows, colleagues only need their own region’s data, and teachers want one list per class. Split Excel does each of these in one step.

Split Excel into multiple files, divide an Excel sheet by rows, split Excel by column value, or split a CSV file.

Three ways to split

  • By row count: for example, 1,000 rows per file for a portal or email tool that limits each upload. The estimate shows how many files you’ll get.
  • By column value: one file for every different value in a column, such as one file per city, branch, salesperson or class. Rows with an empty value go into a “(blank)” file.
  • Each sheet: every sheet of the workbook becomes its own file.

With “First row is headers” switched on, the header row is copied to the top of every file, so each part works on its own.

Excel or CSV

Choose .xlsx to keep a spreadsheet for people, or CSV for imports into other systems. CSV files are saved as UTF-8 that Excel opens correctly. All the files are delivered together in a ZIP, named after the part or value they contain.

Big files are fine

Splitting runs in the background, so files with hundreds of thousands of rows don’t freeze the page. Up to 500 files can be created at once.

Frequently asked questions

Why split by row count?

Many portals and email tools limit uploads, for example 1,000 contacts per import. Splitting into equal parts makes each file small enough, and the header row is repeated in each one.

What does splitting by column value do?

It makes one file for each different value in a column, so a sales list becomes one file per region or a student list one file per class.

How many files can it create?

Up to 500 at a time, delivered together in a ZIP. If a split would create more, Atifo asks you to choose larger parts.

Can it handle very large files?

Files up to 50 MB are processed in the background so the page stays responsive. That’s typically several hundred thousand rows.
